How to follow up with Facebook lead ads leads (and why most are lost)
Follow up with a Facebook lead within five minutes, on the channel they're already using: send an automatic WhatsApp or SMS reply and call at the same time. Then keep up at least seven touches over a week. Most leads are lost because the form syncs too slowly, nobody calls back, or the call comes from an unknown number.
Why do most Facebook lead ads leads never become customers?
Facebook and Instagram lead ads (Meta calls them instant forms) are built to be frictionless: the form opens inside the app and fills in the person's name, email and phone number from their profile. That is why they are cheap. LocaliQ's 2026 benchmarks put the average cost per lead for lead campaigns at $27.39, with a conversion rate of 8.54%. It is also why so many of those leads go nowhere. The usual causes, in order of how often we see them:
- Slow first contact. The lead was scrolling, tapped "Submit" and went back to the feed. An hour later they've forgotten you. Harvard Business Review found firms contacting leads within an hour were nearly 7 times as likely to qualify them as firms that waited an hour longer.
- Leads stuck in Meta. If someone has to download a CSV from Ads Manager, follow-up waits for them. Meta itself notes that manual download "can take more time to follow up". Leads you never download expire after 90 days.
- Phone-only follow-up. Many people don't pick up unknown numbers. A message on WhatsApp or SMS that names your business and their request gets read when a cold call doesn't.
- Giving up too early. In InsideSales' 2021 data, 81% of sellers made five or fewer attempts, while seven or more attempts produced 15% more connections.
- Low-intent form settings. The default "More volume" form type is easy to submit by accident. Pre-filled fields mean typos and old numbers slip through.
How fast should you follow up with a Facebook lead?
Within five minutes, ideally within seconds. The best-known data is from the 2007 InsideSales.com/MIT Lead Response Management Study: the odds of contacting a lead were 100 times lower at 30 minutes than at 5, and the odds of qualifying were 21 times lower. InsideSales' 2021 analysis found conversion rates 8 times higher within five minutes than at six minutes or later, yet fewer than 1% of attempts happened that fast.
Facebook leads decay faster than most because they come from a feed, not a search. Someone who searched "emergency plumber" is still waiting by the phone. Someone who tapped an Instagram ad is already watching the next Reel. The full research is in our speed to lead statistics roundup.
Why aren't my Facebook leads answering the phone?
Usually it's one of these, and each has a fix:
| Problem | What's happening | Fix |
|---|---|---|
| They don't recognise the number | Calls from unknown numbers get screened or ignored | Message first on WhatsApp or SMS, naming your business and what they asked for, then call |
| They don't remember the form | Minutes or hours passed; they've seen dozens of ads since | Reply within seconds, and quote the ad or offer in your first message |
| Wrong or fake numbers | Auto-filled or mistyped details, or spam | Turn on phone number verification and the Higher intent form type |
| Bad timing | You call during their working day | Ask "best time to reach you" on the form, and favour mornings (contact rates were 28.4% higher 9–10 am in InsideSales' data) |
| They weren't serious | Easy forms attract curious clicks | Add one or two qualifying questions; accept fewer, better leads |
What's the best follow-up sequence for Facebook leads?
This is the cadence we recommend for service businesses. It front-loads speed, switches channels instead of redialling the same number, and ends politely rather than going silent. The 2007 study found that after about 20 hours, extra dials actually lowered the chance of contact, which is why days 2 to 7 lean on messages.
- 0–60 seconds: automatic WhatsApp or SMS: "Hi Sarah, it's Brightline Dental. You asked about whitening. Is this week good for a free check-up?" Ask one easy question.
- Within 5 minutes: first call attempt. If no answer, leave a short voicemail and send a follow-up message saying you tried.
- Same day, 2–3 hours later: second call, plus a useful message such as a price range, available slots or an answer to the question on the form.
- Day 1 morning: third call in the 9–10 am window, plus a message offering two specific appointment times.
- Day 2–3: message with something new: a short FAQ, a photo of the result, a review, or parking details.
- Day 5: email recap with booking link, for leads who prefer email.
- Day 7: final, friendly check-in: "Shall I close this off, or would next week suit you better?" Then move them into a monthly nurture list.
That's seven or more touches across three channels, the level InsideSales found produced more connections. Stop the sequence the moment a lead replies, and hand hot leads to a person with the full conversation attached.
Meta now supports part of this natively. Its lead response best practices recommend enabling lead nurturing in Ads Manager to "start custom follow-up conversations with leads on Meta's messaging channels (Messenger, Instagram and WhatsApp)". For a WhatsApp-first approach, see our WhatsApp AI agent guide.
Let an AI agent run the sequence
Our AI Lead Agent contacts every Meta lead form submission within seconds on WhatsApp or SMS, qualifies them, books the appointment and keeps following up for days.
How do you get Facebook leads into your CRM instantly?
Never rely on manual CSV downloads. You have four options, from simplest to most robust:
- Leads Center (built into Meta). Meta's Leads Center lets you filter, assign an owner, add notes and move leads through stages (Intake, Qualified, Converted, Lost and Not qualified). Fine for very small volumes; turn on notifications.
- Native CRM integrations. HubSpot, GoHighLevel, Zoho and many others connect to Meta lead forms directly. New leads appear in seconds.
- Automation tools or webhooks. Zapier-style tools or a webhook push each lead to your CRM, a Google Sheet, Slack and an auto-responder at the same time.
- An AI agent connected to the form. The lead is contacted immediately and arrives in the CRM already qualified, with the conversation attached.
Whichever you choose, test it: submit your own form and time how long it takes to get the lead into your system and the first message out to them.
Should you use Higher intent forms or phone verification?
For most service businesses, yes. Meta offers three instant form types: More volume (the default), Higher intent and Rich creative. Higher intent adds inline context telling people your business may follow up, plus "an additional review screen that gives people a chance to confirm their information". It is delivered to Facebook and Instagram feeds on mobile only.
Phone number verification goes further: "People verify their phone number by entering a one-time passcode sent over WhatsApp or SMS," which Meta says "filters out fake leads such as spam bots and bad actors". Two things to know before switching it on: landline numbers can't be verified, and Meta lists some countries where the feature isn't available to advertisers based there.
Both settings cost you some volume and usually raise your cost per lead. Judge them on cost per booked appointment, not cost per lead. Adding one or two short qualifying questions (budget, timing, location) works the same way.
How do you send lead outcomes back to Meta?
Tell Meta which leads became customers, and its delivery system will look for more people like them. That's the Conversions API for CRM integration, which lets you optimise for "conversion leads" instead of raw form fills. Meta's fit guidelines say it works best if you generate at least 200 leads a month, upload data at least once a day, and the stage you optimise for happens within 28 days at a conversion rate between 1% and 40%. It's only compatible with instant forms.
The upside is meaningful. In A/B tests with 273 advertisers in January 2024, Meta reports that ads using the conversion leads goal with a CRM connected saw a 15% lower cost per quality lead and a 44% increase in the rate of leads becoming quality leads (Meta, Advantage+ leads; Meta-reported). Fast, consistent follow-up matters here too: you can only report a lead as qualified once someone has talked to them.
How many times should you contact a lead before giving up?
Seven or more touches over about a week, then move them to a light monthly nurture rather than deleting them. People who weren't ready this week often come back in a month or two, especially for considered purchases like cosmetic treatments, renovations or legal help. Mark each lead's final status in your CRM so you (and Meta) learn which campaigns produce buyers.

- Contact every Facebook lead within five minutes; message first on WhatsApp or SMS, then call.
- Get leads out of Meta automatically. Manual downloads slow follow-up, and undownloaded leads expire after 90 days.
- Use seven or more touches across call, message and email over a week. Most teams stop at five or fewer.
- Higher intent forms, phone verification and qualifying questions trade volume for quality. Judge them on cost per booking.
- Send CRM outcomes back with the Conversions API so Meta finds more leads who actually convert.
Frequently asked questions
How long do Facebook leads stay available to download?
Meta keeps instant form leads for 90 days from the time the form is submitted. After that they expire and can no longer be downloaded, so connect your forms to a CRM or automation rather than relying on manual downloads.
Can I get notified the moment someone fills in my lead form?
Yes. You can turn on notifications in Meta's Leads Center, but the most reliable approach is to connect the form to your CRM, an automation tool or an AI agent so every new lead triggers an instant message to the lead and an alert to your team.
Should I call or text a Facebook lead first?
Send a short message first, on WhatsApp or SMS, that names your business and what the person asked about, then call within a few minutes. Many people ignore calls from unknown numbers but will read a message that explains who is contacting them.
What is a good cost per lead for Facebook lead ads?
LocaliQ's 2026 benchmarks put the average cost per lead for Facebook lead campaigns at 27.39 US dollars, ranging from about 12 dollars in career services to over 61 dollars for dental services. A good cost per lead is one that produces an acceptable cost per booked customer for your business.
Why are my Facebook leads such low quality?
Instant forms are pre-filled and very easy to submit, so they attract casual interest and occasional wrong numbers. Use the Higher intent form type, phone number verification and one or two qualifying questions, and follow up within minutes while the person still remembers your ad.
Can an AI agent reply to Facebook leads automatically?
Yes. An AI agent connected to your lead forms can message each new lead within seconds on WhatsApp, SMS or Messenger, answer questions from your approved information, ask qualifying questions, book an appointment and hand the conversation to your team when needed.
